How we contact businesses

This notice is for owners of catteries, kennels and other animal boarding businesses that we have written to or called about Petboard. It sits alongside our main privacy notice.

Who we are

Petboard is a trading name of Freaky Turtle Ltd, registered in England and Wales, company number 15100000. Registered office: Unit 13 Freeland Park, Wareham Road, Lytchett Matravers, Poole, BH16 6FA. We are the controller of the details described here. Contact: hello@petboard.co.uk.

What we use and where it comes from

Your business name, trading address, business phone number and, where published, business email address.
Your licence details (activity, star rating, expiry) from your council's public register of licensed animal activities.
Your company's type and registered details from Companies House, where your business is a company.
Public information about how you take bookings, from your own website or business social media pages.
Your replies. Each letter carries a code (the QR code links to a page with it). When someone scans that code or visits its page, we record the date against your business's record, and if you send us a message through that page we record it against your business's record too. That tells us you've been in touch, so we follow up and don't write again for no reason.

If you run your business as a sole trader or partnership, some of this is personal data about you. We do not collect anything about your private life.

Why we use it, and our lawful basis

We use these details to write to you, and sometimes to phone you, about Petboard, because we think it may be useful to your business. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): our interest in telling businesses like yours about Petboard, balanced against yours. You can ask for a copy of our assessment.

Before we phone a number, we check it against the Telephone Preference Service and Corporate Telephone Preference Service registers, and we don't call numbers registered there. We only email a business without its consent if it is a limited company or LLP and the address is on the business's own domain.

Who we share it with

We use a small number of service providers who handle these details for us under contract and only on our instructions: a telephone preference screening service (to check numbers against the TPS and CTPS registers), our email provider (Proton), and our hosting provider (Hetzner, in Germany) for the system where we keep our records. Our printer only prints general Petboard materials and never receives your details: we print personal letters ourselves. We never sell your details.

How long we keep it

If we don't hear back, we delete your details within 6 months of our last contact. If you tell us you don't want to hear from us, we keep only your business name and contact details on a "do not contact" list so we can make sure we never contact you again.

Your rights

To stop us. You can object to direct marketing at any time, and we will stop. Email hello@petboard.co.uk.
