Privacy notice.
Last updated: 30 September 2026.
Petboard is operated by Freaky Turtle Ltd, a UK limited company. We keep this notice in plain English; if we make a material change we'll update the date above and, where it affects you, let you know.
What we collect
From cattery / kennel owners (our paying customers):
- Your name, email address, and business name
- Your business address, phone number, and any branding assets you upload
- Payment information: handled directly by GoCardless, never stored by us
- Operational data: bookings, invoices, customers and pets you record
From pet owners (your customers):
- Name, email, and phone
- Pet details you ask them to share (vaccination status, feeding notes, etc.)
- Booking history with you
Where it lives
All the records you create (bookings, invoices, customers, pets) are stored in EU data centres only (Hetzner, Germany). Our subprocessors:
- GoCardless Ltd: bank Direct Debit payment processing, based in London, United Kingdom. GoCardless is the data controller for the payment data you process; we never see your customers' bank details. The UK holds a UK–EU data-adequacy decision, so this transfer is covered.
- Brevo (Sendinblue SAS): transactional email, based in Paris, France. Used to send booking confirmations, magic links, payment receipts, and stay-update notifications, and our occasional news emails to people who have asked for them.
Object storage for shared photos and videos: Hetzner Object Storage, Germany.
How long we keep it
While your business is an active petboard customer: as long as you keep using it. If you cancel, we retain your data for 30 days so you can change your mind, then we delete it. Specific records may be retained longer where law requires (HMRC obligations on financial records, for example). We also keep the email address your business signed up with, and a record that it had a subscription, so we can give each business only one free month. We rely on our legitimate interest in running the offer fairly, and we use it for nothing else.
Your rights
Under UK GDPR, you have the right to access, correct, delete, or export your personal data. Email privacy@petboard.co.uk and we will respond within 28 days. You can also lodge a complaint with the UK's Information Commissioner's Office (ICO).
If you contact us through our website
Our "what would you like to do next?" form (on the pages our letters link to) asks for your business name, your name, an email address or phone number, how you'd like us to get in touch, whether you'd like a phone call or more information, and anything else you choose to tell us. If you reached it from one of our letters, we also keep the code printed on that letter, so we know which business it came from.
We use these details only to reply to your request (UK GDPR Article 6(1)(b): steps you asked us to take). We don't store your IP address with it. We keep an enquiry for 6 months after we've dealt with it, then delete it.
News emails. The form has a box, unticked unless you tick it, asking whether you'd like the occasional email about Petboard. We store the wording you saw and whether you ticked it. If you did, Brevo sends you an email asking you to confirm, and we only add you to our list once you click the link in it. Every email has an unsubscribe link, and you can withdraw your consent at any time.
If we've contacted your business
If we've written to or called your cattery or kennel about Petboard, our outreach privacy notice explains what business details we used, where they came from, and how to ask us to stop.
Cookies and visit counting
We use first-party session cookies for authentication only. No third-party tracking cookies.
To count visits to our public website we use Umami, which we run ourselves on our own server in Germany. It sets no cookies and doesn't store IP addresses: it turns your IP address and browser details into a code that changes every day, so a visit can be counted once without identifying you, and it works out an approximate location (country, region and city) from the IP address. We use it only to count visits. The pages our letters link to, and the pages after our enquiry form, aren't counted.
Server-side request logs are retained for 14 days for operational troubleshooting and security only.
Changes to this notice
